Being straight with you

What Innkeep doesn't do — we'd rather tell you now.

No contracts, no lock-in.

Month to month. Your data exports with you if you leave.

No per-room pricing, ever.

Your bill does not grow because your motel did.

No restaurant, bar or spa modules.

Innkeep is for motels of 15 to 60 rooms. A 200-room hotel with three restaurants needs a different system — honestly, try Mews or Cloudbeds.

No promising features that aren't built.

What is coming is on the Coming Soon page, labelled. Everything else on this site is in Innkeep.

No sales team.

You will talk to Ravin, who runs a motel on Innkeep. If that conversation tells you Innkeep is wrong for you, he will say so.

The longer list

Innkeep is software. It is not a lawyer, an accountant, a payroll company, or an insurer. Here is the list, in plain words, of what we do not do and what we are not responsible for — written down before you need it rather than after.

On employment and compliance

The compliance module produces handbooks, employment agreements, safety programmes and training records from your own answers. They are starting points.

  • They are not legal advice. Whether yours satisfies your obligations is between you and your attorney.
  • We do not decide whether somebody is exempt, non-exempt, or a contractor.
  • We do not compute, withhold, remit or file payroll taxes. We are not your payroll provider.
  • We do not represent you before EDD, the Labor Commissioner, Cal/OSHA or the IRS.
  • The compliance calendar reflects our best understanding of California rules on the date we shipped it. Law changes. Check it.
  • We do not verify that what you type is true. A safety manual says the water cooler is full because you told us it is.
  • Having a written programme is not the same as being safe or compliant. The document records what you say you do.

The documents with Social Security numbers never reach us

This is the part most worth understanding, because it is unusual and it cuts both ways.

  • Your employees' W-4, DE 4, I-9, ID photographs and direct-deposit forms go from the phone straight into your own Google Drive. They do not pass through an Innkeep server and we keep no copy.
  • We store the fact that the document exists, its name, and a fingerprint that proves it has not been altered — plus, for tax and bank forms, the last four digits. Nothing else.
  • That means we cannot lose them and we cannot leak them. It also means that if you delete them from your Drive, or disconnect it, they are gone — we have no copy to give you back.
  • The one exception is sending a hiring packet to your payroll company. That goes out from your own email account, to an address you approved in advance — there is no box to type a new one into on the day. If it contains a Social Security number, a bank number or an ID photo, the PDF is password-protected and the password goes separately. We hold the packet for the few seconds it takes to send and keep no copy.
  • Email crosses mail servers in the clear unless both ends encrypt the connection. We require encryption on our end and refuse to send without it. We cannot control the other end, which is why those packets are locked.
  • What your payroll company does with the packet afterwards is between you and them.
  • Keeping photographs of Social Security cards, licences and passports is optional under federal law. If you keep them, keep them for everyone — doing it for some people and not others causes its own problems. There is one switch, it applies to everybody, and it is yours to set.

On your data

  • You own your data and you are responsible for it. We hold it for you and protect it with the controls we publish, but who at your property can see it is your decision.
  • Once you export — to Google Drive, to a printer, to an email — it is outside our control and outside our protection.
  • We are not responsible for a login or a PIN your staff shared, or for an account you did not switch off when somebody left.
  • We can only delete what we hold. Copies you made are yours to delete.
  • We do not sell your data, or your guests', or your employees', and we do not share it for anybody else's advertising.

On money and bookings

  • Prices, minimum stays and stop-sells are yours. If you, or a rule you switched on, sends a wrong price to a booking site, that price is real.
  • We are not a payment processor. Card data you choose to store is stored under terms you accepted, and PCI compliance for your property is yours.
  • Refunds, chargebacks and disputes are between you, your guest and your bank.
  • Rewards credit your guests earn is money owed by your property, not by us.

On messages

  • Emails go out as you, from your own email account. Innkeep does not send texts; tapping a guest's number opens your own phone's messages. Consent to contact a guest is yours to hold.
  • Deliverability, sender reputation and anything a carrier decides about your messages are outside our control.

On the service itself

  • We run on other people's infrastructure — hosting, database, channel manager, messaging, Google. When they are down, we are down.
  • There is no uptime guarantee today. We would rather say so than print one we cannot keep.
  • Features marked in development can change or be withdrawn.
  • Our liability is limited to the subscription fees you paid in the three months before a claim. Your business insurance is what covers your business.

What we do take responsibility for

  • Not holding the most dangerous data in the first place, and being specific about which data that is.
  • Encrypting your employees' sensitive compliance records with a key that belongs to your property alone.
  • Recording who opened or revealed employee records, in a tamper-evident log that cannot be quietly edited afterwards.
  • Never selling or sharing your data, or your guests' or employees' data.
  • Telling you fast and plainly if something goes wrong.
  • Letting you take your data out whenever you want, in a format you can read without us.

If something on this page is a problem for how you run your motel, tell us before you sign up rather than after. We would rather lose the sale than have this conversation later.

See it on a real motel — yours.
